The essential steps for your first Bloodhound session.

Start your first room

  1. Choose your organization in the workspace and open Meetings. Use “Create meeting” to create a room with a title; scheduling and participants are optional.
  2. Open the room and prepare its goal, topics and documents. You can develop the context further as you work together.
  3. Invite participants or share the room’s invitation link.
  4. Connect audio and allow microphone access when needed. Choose whether Bloodhound should only transcribe, build knowledge or collaborate with AI using the processing mode.

Registered accounts need a verified email address. Guests can join with an invitation and their name without creating an account. Room access requires available credit in the hosting organization; invited external participants do not need credit in an organization of their own.

Setup has three steps: describe your goal by recording or typing, review the proposed goal and topics, and optionally add supporting files. Recording stops after 120 seconds at the latest. “Record and prepare with AI” authorizes a single transcription and AI setup request through OpenAI and incurs usage; the meeting’s processing mode stays unchanged. Choose “Skip setup” to start immediately.

Conversation & tasks

Use “Processing mode” to choose how Bloodhound handles the conversation: “No processing” disables transcription and meeting AI. “Transcription only” captures speech. “Build knowledge” adds insights and relationships. “AI collaboration” also enables workspace cards, answers and result documents.

Manual AI chat requests and “Work it out now” require AI collaboration. Switching to a more restricted mode cancels running tasks that the new mode does not permit. Existing content remains available. Personal AI help and explicitly started AI setup are separate.

Enable “Read AI replies aloud” in AI collaboration to add spoken answers. You control your microphone, camera and screen sharing separately; changing the processing mode does not activate them.

Workspace & traces

The workspace shows the current state as tiles. Open a tile for details, sources and, where available, tables or diagrams. Topics and filters help you keep track.

Traces contains the original conversation, its cleaned version, insights and their connections. This lets you check what a result is based on. New contributions can expand or change existing insights.

Results & documents

Working tiles can be created during the conversation. Result documents require explicit approval. Find pending decisions and ongoing work under Tasks, and completed documents under Results.

For example, request a requirements catalogue, a business plan or a proposal draft. Drafts use the available context; check assumptions and statements before using them further.

AI tools group examples into four areas: creating documents, researching, reviewing the project and shaping the workspace. Selecting an example does not start a task. Describe your request in AI chat or address Bloodhound during the conversation.

For current external evidence, request a market analysis or a focused research question, such as technical capabilities or vendor options. Both require approval before research begins. Creating a document uses existing sources without starting additional web research.

Account & organization

Register with email and password and verify your email address. After signing in, you can switch between your organizations in the workspace. Your most recently selected organization is remembered for your next sign-in.

After verifying your email address, you can enable email-code sign-in in your personal settings. You can then choose a password or code when signing in; this is not two-factor authentication. “Remember this device for 30 days” explicitly extends your sign-in.

Owners manage the organization and can see all its rooms. Members see their own rooms and rooms shared with them. Organization invitations must be accepted, and at least one owner must remain.

Under Organization, manage the name, room design, product feedback sharing, membership and data. Owners can also enter billing details here. Organization names can be used more than once; rooms and credit remain separate for each organization.

Owners control product-feedback category sharing and separate permissions for short feedback texts and technical diagnostics. Text feedback and diagnostics start disabled and apply only to new activity after activation. You can block sharing of your own contributions in your personal privacy settings.

Costs & credit

Organization owners can view their credit balance and charged usage costs under “Costs & credit”, broken down by period, room and cost category. Reservations for accepted tasks can temporarily reduce available credit.

Once billing is activated, usage is calculated from measured consumption and the applicable Bloodhound rates. Later provider invoices do not change earlier customer charges. Usage before billing activation is not charged retroactively. Missing prices or unresolved usage do not establish a zero cost.

Positive available credit permits room access; individual tasks also require sufficient funds. Rooms and AI tasks are stopped when credit runs out. Adding credit does not automatically restart processing or devices. Unlimited credit does not require a top-up.

Adding credit and payment methods are currently preview features. They do not yet make payments or store payment details.

AI help for the application

In the account workspace, open AI help using its button. In a room, it is the third tab next to Team chat and AI chat. It answers questions about using Bloodhound from the currently deployed documentation and links to relevant chapters.

Your help history is personal: per user and organization in the account workspace, and per participant and room in meetings. It stays separate from meeting knowledge. You can download it or remove it using “Delete history”. AI help does not perform project tasks and has no voice input or output.

AI help requires available credit from the selected organization in the account workspace or the hosting organization in a room. It works independently of the meeting's AI processing mode. Regular documentation remains accessible without credit.

Room help follows the room language; account help follows the selected interface language. After a language change, new answers use the new language while existing messages remain unchanged.

Privacy & deletion

Find “Privacy and erasure” in your personal settings. The deletion dialog lists affected organizations, rooms and other members. Organizations where you are the only owner are deleted in full after your explicit confirmation. Organizations with another owner remain available. Other members’ user accounts are not deleted. Export content you need beforehand and save the case number. You can appoint another owner first to keep an organization.

After confirmation, your access is blocked and deletion starts automatically. Attributable contributions, files, private help dialogs and derived results are removed; this can change shared work. Progress and completion are sent by email. Additional mentions, retention obligations, providers, backups and external copies are handled through verified procedures or individual review. Connect your own systems

Open “API access” under Organization. Choose rooms, read permissions and an expiry of up to 90 days. Copy the token immediately; it is shown only once. Use it exclusively in your integration’s backend. The linked JavaScript SDK handles encrypted transport; the API guide explains setup and data retrieval.

A token grants at most your current permissions. External rooms must be explicitly selected and remain subject to guest access rules. The API reads room data and downloads permitted original files; it does not modify room content or expose private AI help. Revocation, expiry or loss of your permission ends access. Your system must process deletion notices and remove its copies accordingly.

Switch between a room and the workspace

Signed-in users can minimize a room and continue in the workspace. Microphone, camera and screen sharing are turned off. Minimized rooms remain accessible as tabs.

Use “Leave session” to end your participation in the room. Guests can leave a room but cannot minimize it into the workspace. Even with several rooms open, you can only speak, send video or share your screen in one room at a time.
